Job Description:

This position is directly in charge of all aspects of the guest experience at Dharmakaya Center for Wellbeing (DCW), including administrative and event planning.  The Guest Experience Supervisor is primarily responsible for creating a lasting, positive impact by assisting guests and volunteers in all situations.  The position will aid and work closely with the Operations Supervisor and Dharmakaya Leadership.

 

Job Responsibilities:

  • Greeting and welcoming guests, volunteers and vendors in a friendly and helpful manner, determining the nature of the visit and directing to the appropriate person or location.
  • Executing “full circle” service; from first inquiry, to reservation, check in, payment, check out and post visit follow up.
  •  Asking exploratory questions to identify concerns, needs, and expectations.
  • Fulfilling inquires by utilizing in-depth knowledge of DCW and Dharmakaya as well as the greater tri-state area.  Acting as tour guide if needed.
  • Resolving sensitive situations on an individual basis through phone calls, letters, or personal interactions.
  • Monitoring and directing the work of volunteers, staff, and guests
  •  Assisting with preparation and distribution of communications such as newsletters, etc.
  • Assisting with planning and coordinating all aspects of events and activities.
  • Assisting with marketing outreach and the preparation of materials.
  • Overseeing daily administration; including monitoring and responding to all DCW communication entry points.
  • Working with Dharmakaya Leadership to review guest volume, plan and continuously monitor levels to ensure efficiency and effective guest service; develop and execute strategies for future DCW growth.
  • Being fair and objective while performing responsibilities, avoiding any perception of bias or favoritism.
  • Protecting confidentiality of information and privacy of guests, volunteers and teachers.
  • Maintaining a clean and orderly work environment.
  • Enforcing all DCW policies and procedures related to volunteers, guests and staff conduct.
  •  In the spirit of cooperation and in response to DCW needs, it may be necessary to perform other related duties as requested and unrelated duties; kitchen and housekeeping work as example.
  • Will likely be required to work over 40 hours per week as DCW needs dictate; including weekends and evenings.

Qualifications:

  • High School Diploma or equivalent preferred.
  • Enthusiastic, resilient and thoughtful demeanor required
  • 3-5 years of guest service, administrative or combined experience required.
  • A demonstrated ability to multi-task and an affinity for working in an ever-changing environment.
  • Respect for and ability to maintain an environment of peacefulness and wellbeing while getting jobs accomplished.
  • Developed verbal and non-verbal communication skills; ability to effectively communicate in one-on-one and small group situations to guests, staff and volunteers.
  • A high aptitude in identifying barriers and troubleshooting with few concrete variables.
  • Experience in deescalating conflict or misunderstanding.
  • Proven capacity to work independently and as part of a team.
  • Exceptional organizational and project planning skills.
  • Ability to read, comprehend and write instructions, short correspondence and memos.  
  • Ability to perform repetitive data entry tasks and work basic mathematical problems.
  • Proficient using the Web to conduct research, social media usage, event administration and procurement as well as with the latest versions of Microsoft Outlook, Word, Excel, PowerPoint.
  • Experience using data base programs such as QuickBooks, Salesforce and other platforms a plus. 
  • Regularly required to sit, stand, walk, reach, stoop, kneel, crouch, bend, and squat.  
  • Ability to lift 1-25 pounds
  • Valid driver’s license required.
